Retail deductions / Article 1

Deductions, for new suppliers.

What they are, where you see them, and the habits that keep them under control.

A deduction is money a retailer subtracts from what it pays you. Walmart and Target take it first and look at it later, if at all. The payment simply arrives smaller than the invoice. For a new supplier, deductions often go unnoticed until the totals stop adding up.

Two main kinds

  • Accounts payable deductions: shortages, pricing differences, allowances and damaged goods. The retailer says it received less, or was charged more, than it should have been.
  • Compliance chargebacks: fines for missing a rule in the retailer's supplier requirements, such as late or incomplete deliveries, label problems or advance ship notice errors.

Where you see them

At Walmart, accounts payable deductions are disputed in the Accounts Payable Dispute Portal (APDP) inside Retail Link. On time in full (OTIF) fines follow a separate accounts receivable path with a shorter window. At Target, most deductions are disputed in Synergy, inside Partners Online.

Every deduction has a clock

Dispute windows depend on the retailer and the type of deduction. Some run for many months, and compliance chargebacks are usually much shorter. Supplier guides do not always agree on the exact numbers, so the date shown in your portal is the one to trust. Walmart codes and APDP and Target Synergy and the dispute limit go into each one.

Not every deduction is wrong

Some deductions are fair. If a shipment really was short, or really was late, the deduction is valid and disputing it wastes everyone's time. The work is telling the valid ones from the invalid ones, then disputing only the invalid ones with proof.

Habits that help from day one

  • Export your deductions at least once a month instead of waiting for a pile.
  • Keep the purchase order, invoice, advance ship notice, bill of lading and proof of delivery for every shipment. The five documents
  • Note the dispute window for each deduction as it arrives.
  • Look for repeats. The same deduction every month usually points to one fixable cause.
